Expedient Medicolegal Services QME / AME Policies

Please provide records and cover letters at least two weeks before the scheduled evaluation. 

Our office accepts records electronically, which can be uploaded directly to our website at expedientmedicolegal.com/upload-records. Please note this link is HIPAA compliant and secured. You may also fax them to (855) 329-0525.

Pursuant to Labor Code §4062.3, all records must include an attestation by the sending party with the correct total number of pages, signed under penalty of perjury. If an attestation is not received, the records will not be reviewed until the required attestation is received. See CCR 9793(n) for the definition of “record review.”

If a statement under penalty of perjury that the party has complied with Labor Code §4062.3 is not included, the doctor cannot review the records. Additionally, if the attestation regarding the number of records is not included or is incorrect, the doctor cannot review the records. If one party sends records with the proper statement and attestation, the doctor can review those records. However, the doctor cannot review records from another cover letter until it is sent with the proper statement and attestation. As a result, if cover letters lack the required statements, the doctor will evaluate and provide a report based on the examination findings. When proper cover letters are received, the doctor will review the records and issue a supplemental report.

Please ensure cover letters accurately list the documents and include an accurate page count on the attestations, including advocacy letters, medical record index, and all records sent for review. Note that discrepancies often occur between the number of records sent and what is listed in cover letters. The doctor’s report will provide a total page count of records received and reviewed, which may differ due to miscounts or additional records not included in the index.

Reschedules or cancellations must be made at least 6 business days in advance to avoid fees. Insufficient cancellations and no-shows will incur a $503.75 fee pursuant to the Official Medical-Legal Fee Schedule. If records are reviewed and a report is issued within 30 days of the scheduled appointment, the doctor will charge the Medical Fee Schedule rate for the record review in addition to missed appointment or late cancellation fees.

The total fee for a deposition is $1,137.50, covering 1 hour of prep, 1 hour for the deposition, and 30 minutes for transcript review, billed at $455/hour per the official medical fee schedule. The fee schedule requires a minimum payment, and the deposition fee must be received prior to the deposition. Payments not received by the morning of a deposition are subject to rescheduling.

Make checks payable to Expedient Medicolegal Services and include the doctor’s name, applicant’s name, and the date/time of the deposition. A scanned copy of the check and proof of mailing are required before proceeding if payment is not received in advance.

Depositions canceled or rescheduled less than 8 calendar days in advance are subject to a late cancel fee. No-shows and failed depositions are also subject to this fee.

Some locations may require parking fees ranging from $5 to $30, which are beyond the company’s control. Applicants and interpreters should plan for travel and parking time. Our office does not validate parking.

Please arrive at least 15 minutes before your evaluation. Duration depends on the complexity and specialty of the case and whether an interpreter is needed. Psychiatric evaluations typically take 4 to 8 hours. Non-mental health evaluations range from 30 minutes to 2 hours. Bring a photo ID and a current list of prescribed medications.

For remote evaluations, you will receive an email with a link for your evaluator’s preferred video call method. Please download and test audio and video before your evaluation. If you haven’t received the email, contact our office at scheduling@expedientmedicolegal.com with your name, evaluation date, and physician’s name.

Log on at least 15 minutes early. Ensure you are in a quiet, private location free from distractions for the duration of your evaluation. Do not conduct the evaluation in a public setting or vehicle.
